This Privacy Policy document contains types of information that is collected and recorded by Helloglot and how we use it, in compliance with the General Data Protection Regulation (GDPR).

Account & Identity Data: We process your full name, email address, and phone number (if you contact us via WhatsApp or phone call) when you register, contact us, or enroll in a course. For users that register on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time, except they cannot change their username. Website administrators can also see and edit that information.

Learning & Participation Data: In Instructor-Led courses and Blended Courses, we may process your participation in live sessions, tutoring schedules, and course progress.

Technical & Usage Data: We record your IP address, browser type, and basic usage data when you log in to our platform or browse the website. If you request a password reset, your IP address will be included in the reset email for security and verification purposes.

Newsletter and Subscription Data: When you voluntarily subscribe to our newsletter, to the interest list, or submit your information through a Brevo-powered subscription form, we process your email address and any additional information requested in the form. This data is used only for the purposes described at the time of collection, such as sending course updates, availability notifications, or marketing communications when you have provided your consent.

3. How We Use Your Information

We use the collected data for the following lawful purposes under the GDPR.

To provide and maintain our service: This includes managing your enrollment, giving you access to Self-Led materials, and coordinating live instructor sessions.

To communicate with you: We use your data to send updates about your courses, answer your questions, and provide support messages.

With your consent (Newsletter Subscription): f you voluntarily subscribe to our newsletter or marketing updates through our subscription forms (including forms provided through Brevo), we will use your email address to send you offers, news, and updates about our courses. You can withdraw your consent and unsubscribe at any time by following the unsubscribe link included at the bottom of our emails.

“Join the interest list” Form: If you submit your information through our “Join the interest list” form, we will process your data strictly to notify you when spots open up, when new dates are announced, or when a course matching your indicated preferences becomes available. Registering for the interest list does not automatically enroll you in our general marketing newsletter.

Contact, WhatsApp, and Information Requests: If you contact us via our website contact form, email, WhatsApp, or phone call to inquire about our courses, we will use your personal data strictly to answer your inquiries and provide the requested information. Submitting an inquiry through these channels does not automatically enroll you in our marketing newsletter, and we will never use your contact info for marketing purposes unless you explicitly subscribe.

4. Data Retention

We will retain your personal data only for as long as necessary to fulfill the purposes outlined in this policy.

Regarding Account and Course Data, we will keep your personal information and student profile active for as long as you maintain an active account with us or remain enrolled in our courses. If you request the deletion of your account, your data will be erased within 30 days.

Regarding Legal and Tax Obligations, any billing or transaction information related to payments will be securely stored for a period of 5 years, as required by law, after which it will be permanently deleted.

5. Third-Party Service Providers

We do not sell, trade, or rent your personal data to third parties. However, we share data with trusted service providers strictly necessary to run our platform, communicate with users, and deliver our services.

Hosting Providers: We share necessary technical data to host and maintain the website and its learning platform.

Video Conferencing Tools: We share your account identifier with Google Meet or Zoom (or similar platforms used) strictly to conduct the live instructor sessions.

Payment Processors: If you make a purchase on our website, transaction and billing data will be shared with secure third-party payment gateways (such as Stripe or PayPal) and managed through our e-commerce platform (WooCommerce) strictly to process your orders and manage billing. We do not store your credit card or financial information on our servers.

Communication Tools: If you choose to contact us via WhatsApp, your data (phone number and chat history) is processed through WhatsApp Ireland Limited in accordance with their own privacy policy.

Email Marketing and Newsletter Provider: Helloglot uses Brevo (Brevo SAS) to manage newsletter subscriptions, interest lists, and email communications. When you subscribe through one of our forms, your information is securely transferred to Brevo and processed on our behalf to send communications according to your preferences and consent. Brevo acts as a data processor and does not receive your information for its own marketing purposes. You can unsubscribe from our communications at any time using the unsubscribe link included in our emails.

Email Delivery Provider: Helloglot uses FluentSMTP to manage the delivery of transactional emails sent from our website, such as account notifications, password resets, and other service-related messages. Depending on the configured email provider, email transmission may involve processing by third-party email infrastructure providers.

6. Your GDPR Data Protection Rights

We want to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following rights under the European regulation.

The right to access and rectification: You have the right to request copies of your personal data (including an exported file of the data we hold) and to request that we correct any information you believe is inaccurate.

The right to erasure and restriction: You have the right to request that we erase your personal data or restrict its processing, under certain legal conditions. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

The right to object and portability: You have the right to object to our processing of your personal data (e.g., for marketing) and to request the transfer of your data to another organization.

7. Cookies and Analytics

Helloglot uses only strictly necessary cookies and privacy-oriented technical services required for the website to function properly, provide secure access, prevent abuse, and deliver requested services.

These technologies allow users to browse the website, access their accounts, manage their courses, complete purchases securely, and submit forms.

When you visit our login page, we may set a temporary cookie to determine whether your browser accepts cookies. This cookie does not contain personal data and is deleted when you close your browser.

When you log in to your account, we use cookies to maintain your authenticated session and remember certain preferences related to your account experience. If you choose the option to remain signed in, your login session may be maintained for an extended period. These cookies are used only to provide secure access to your account and the functionality of the website.

To protect our forms from spam, automated abuse, and fraudulent submissions, Helloglot uses Cloudflare Turnstile, a privacy-focused CAPTCHA alternative provided by Cloudflare.

Turnstile may process technical information such as IP address, browser information, and interaction signals necessary to determine whether a request is likely to come from a human user. This processing is used exclusively for security and spam prevention purposes.

Cloudflare Turnstile does not use the information collected for advertising or cross-site behavioural tracking.

For website optimization and performance monitoring, Helloglot uses Independent Analytics, a privacy-focused analytics tool integrated into our WordPress website. It collects aggregated website usage information, such as page views, referral sources, and general visitor information, to help us understand how our website is used and improve our services.

Independent Analytics is configured to avoid the use of analytics cookies. It does not track users across different websites, create personal profiles for advertising purposes, or attempt to identify individual visitors.

Helloglot does not use advertising cookies, marketing cookies, or third-party tracking technologies for behavioural advertising purposes.
